SUMMARY Provides a wide range of senior level administrative services for one or more Senior Executives. The incumbent will have daily contact with executive management, as well as others at all levels inside and outside of the organization. The Executive Assistant will have regular exposure to sensitive and confidential information, and therefore, must exercise independent judgment and sound decision making when dealing with information. Establishes and implements administrative systems and procedures for the Senior Executive (s) and their department(s) as required. ESSENTIAL FUNCTIONS Performs a wide range of senior level administrative services for one or more Senior Executives. This includes maintaining Outlook calendar, email and tasks, composing and maintaining routine correspondence, (proofreading, editing, copying, filing), answering telephones, greeting visitors and all related guest services. Prepares high level PowerPoint presentations and Excel spreadsheets on a regular basis. Maintains SharePoint site(s). Interacts with senior leaders and internal teams such Purchasing, HR, Finance, IT, mailroom, catering, travel & expense, and external vendors as needed. Coordinates executive itineraries, schedules meetings and arranges for travel (both domestic and international), including flights, hotel accommodations, ground transportation, etc. Prepares and processes all related travel and expense reports. Responsible for administration of routine meetings, both in-person and webconference. This includes large scale executive and/or management meetings and conferences (both on-site and off-site), including preparation of the agenda, planning of food and beverage services, coordination of pre-reading packets, and follow-up meeting minutes. Facilitates all related vendor services. Ensures meticulous attention to detail and flawless execution. Establishes and organizes office workflow within the department, including filing systems and recordkeeping. Maintains confidential files and records, including directories, manuals, tickler/action filing system. Prepares necessary paperwork for purchase orders and check requests generated by the Executive(s) Maintains office supplies inventory for the department and places orders, as needed. Performs special projects/assignments, as assigned. REQUIREMENTS: Travel Travel required on minimal basis for large-scale meeting coordination. Education Minimum of a high school diploma; post secondary education or certificate preferred. Experience Minimum 5 years administrative assistant experience supporting senior level executives. Excellent PC application skills. Advanced proficiency in MS Word, Excel, PowerPoint, SharePoint and Outlook required. Must be able to independently create Excel spreadsheets, PowerPoint presentations, maintain SharePoint sites and compose routine correspondence. Ability to make travel arrangements, including international travel, and follow up on details. Experience coordinating large scale executive meetings and off-site customer conferences.
