Job Description

Saint Peter's University seeks a highly motivated individual to develop and manage revenue generating summer conference and year round events programming. Reporting to the Vice President for Finance and Business, the Manager of Conferencing and Event Services is the lead event and conferencing representative for Saint Peter's University and is responsible for external marketing, negotiating rates, successfully coordinating the schedule for all internal and external events and providing on-site management for external programs. This is a 12 month full time position, with the expectation that during non peak periods, the individual is marketing and recruiting Saint Peter's as a potential venue for summer conference, workshops, meetings, and retreats and coordinates rental of the meeting facilities throughout the year.

Specific responsibilities include, but are not limited to:
• Develops, plans and coordinates large scale, high profile events and summer conference/off season rental opportunities generating net revenues to the goal of ____ per year
• Develops and implements a comprehensive conference/summer camps/events marketing plan to attract external clientele to Saint Peter's University and to generate new client relationships
• Coordinates the summer conference and camp schedule and assigns facilities for all external summer programs with the Residence Life Team
• Collaborates with external groups in scheduling conference needs into the appropriate facilities based on date and type of program, projected number of attendees, dining service needs and other requirements such as meeting and group space
• Maintains scheduling database with Room Reservations to communicate schedule /facility changes to appropriate parties
• Participates in marketing and sales activities highlighting Saint Peter's University as a potential venue
• Communicates and resolves problems effectively and in a timely manner with event organizers
• Works closely with University counsel to develop and implement policies and procedures related to conference services; assessment of health and safety and related risk issues
• Works closely with Facility Services staff to ensure appearance and cleanliness of the space
• Works closely with the Media Services/IT Department ensuring appropriate audio visual equipment needs and personnel for external events
• Works closely with University Communications staff to develop marketing materials and communicate events as appropriate to the campus community
• Manages and forecasts departmental budget for conferencing and events including summer conferencing
• Works closely with Catering Services to create proposals and implement menus for external catering
• Serves as the principal client contact throughout the planning process, determining the needs of the client, negotiating contract, communicating all event requirements with internal departments (maintenance, media services, catering and security) and overseeing event implementation
• Oversees the operation of the Events Company, an entity of Saint Peter's University, which holds the liquor license for the Mac Mahon Student Center. This involves following protocols set forth by the Alcohol Beverage Control (ABC) and communicating such, the ordering and inventory of alcohol, including approval of orders as they arrive and requisitioning inventory for events as requested.
• Performs other duties as assigned and as necessary. Coverage of external events and summer conferences on evenings and weekends when necessary Qualification Standards
• The Manager must be available to work evenings and weekends during summer conference program and event session.
• Proficiency in Microsoft Office. Experience with scheduling software preferred.
• Possess knowledge of basic meeting and conference planning procedures
• Prior experience in marketing and event management in a higher education setting a plus Education
• Bachelor's degree required, supplemented with two (2) years of related experience in marketing, sales or event management OR significant management or sales experience in conference and event management or hotel and resort management. Experience
