Job Profile Summary
The Personal Assistant - U.S. C&EA is responsible for providing general support potentially, for multiple teams with a variety of administrative activities in order to support an effective, efficient and compliant business.
The successful candidate will provide professional administrative support to the Head of U.S. Policy and Head of U.S. Communications.
The individual will work with a wide range of people within the team and communicate with others outside the team as well.
Organize and provide personal executive administration support to the Head of U.S. Policy and Head of U.S. Communications
Plan, organize and prioritize own work daily to meet deadlines set by reporting line.
Daily agenda organization for group heads.
Organize and submit expenses reports for group heads.
Co-ordinate arrangements for meetings, conferences, manage and co-ordinate diaries, book relevant facilities and equipment and co-ordinate travel and accommodation arrangements for Group Leads.
Process & track SAP invoice payments.
Participate in crisis training drills.
Maintain C&EA distribution lists (as assigned).
Maintain C&EA emergency contact list.
HSE support – participate as floor warden.
Assist with special projects as required.
Manage and assist with Washington, DC office special events.
Help manage team budgets by tracking spend and reconciling with finance reports each quarter.
Manage pro card spend for each team.
Handle administrative requests and queries.
Complies with BP’s Code of Conduct and models BP’s Values & Behaviors.
Essential Education and Experience
High school diploma with 10+ years of executive administrative support experience
Key Skills and abilities
Ability to work without supervision, assess requirements, aptitude to work pro-actively and multi-task.
Capable to deal comfortably with internal and external contacts at all levels.
Open, helpful and communicative style.
Excellent interpersonal and networking skills across multiple teams and locations.
Strong follow-through and completion of assigned tasks.
Ability to handle sensitive information and maintain confidentiality.
Ability to assess and anticipate the requirements of group heads.
Skillful application of all MS Office programs - Outlook, Word, PowerPoint, Excel, SharePoint.
Working and delivering with tight deadlines.
Previous knowledge of BP process or systems.
Must be customer service oriented with an open, helpful, and can-do attitude.
Act as Floor Warden (attend trainings and execute all monthly responsibilities)
